To book a luxury phinisi charter from Labuan Bajo, name the boat and your dates, ask for a written itinerary and price, check whether that price is per person or per boat, read the payment terms, then supply passport details for park registration. Treat nothing as binding until you accept a written offer naming the boat, the dates and the total.

What should you send in the first message?

Send enough for a provider to answer with a real proposal instead of a list of questions. Boats at this level differ in minimum stay, guest limits and what they include, so a vague enquiry tends to come back with a brochure. A useful first message covers these points:

  • The boat, or the kind of boat. Name it if you have one in mind. If you do not, state the cabin count and the standard you expect, using plain descriptions and no tier words, since no two sellers use the same scale, as our page on vessel classes shows.
  • Dates and flexibility. Give your start date and say how far it can move. Navelia says most yachts move between Komodo and Raja Ampat with the season, so a shift of a few weeks can change which boats are in Komodo at all.
  • Length. Say how many nights you want. Vela, for one, states a four-night minimum in Komodo and warns of possible extra fees for shorter trips.
  • Who is travelling. Give adults and children, with ages. Vela says it has no minimum age for children but cannot take more than 12 adults, counting maids and personnel, which is the kind of limit that only surfaces when you give the headcount.
  • Where you start and finish. Say Labuan Bajo if that is your plan, and mention any other port.
  • Diving. Say who dives and at what certification level.
  • Diets and allergies. The charter guide on komodoresort.com says these should be raised at booking because a small galley cannot improvise.

Two things can wait. Passport scans and card numbers do not belong in a first message to anyone, and a provider who asks for payment before sending a written itinerary has the order backwards. If you are writing to this desk, the contact page has a fuller guide to what to include. If you have not yet narrowed down the boats, the Luxury Phinisi Labuan Bajo overview explains what published rates and inclusions can tell you.

What should a written quote contain?

A written quote should let a stranger work out exactly what was sold. The komodoresort.com guide says inclusions vary by operator and advises getting them in writing, and Ultimate Indonesian Yachts says exact inclusions are set per yacht in a proposal. Measure whatever you receive against this table:

What should a written quote contain?
Line on the quoteWhat to look forWhy it matters
BoatThe boat's name, not "or similar"Substitution changes what you bought
Dates and portsStart and end dates, boarding and leaving portsThe departure point can add relocation fees
ItineraryA named route, with a note on who may change itWeather, tides and currents can override it
Price basisPer person, per boat or per night, for what group sizeTwo bases cannot be compared directly
Inclusions and exclusionsBoth lists, in fullAn unnamed item invites a dispute
TaxWhether the total includes itPublished terms differ on this
Payment and cancellationDates, percentages, refund stepsThis line decides what you stand to lose
SellerThe legal name of the company issuing the contractYou need to know who you can hold to the terms

Read the basis first. Komodo Trips says plainly that it quotes package prices per person and charter prices per boat or phinisi, and the komodoresort.com guide says many rate cards step up by group band. If the quote does not say which applies and for how many guests, it is not ready to accept. The exclusions checklist gives you the questions to put against the two lists, what a rate includes covers the other side, and the published prices page gives figures to test the total against.

Then read the payment terms. Three published schedules show the spread. Vela asks for 30% at booking with the balance 90 days before departure, or 50% with the balance 60 days before. Tiare's group and charter terms run in three stages, starting with a 10% non-refundable deposit within seven days of invoice. The Boatbookings listing for Phinisi 50 states a 50% deposit, the balance two months before the charter, and that all payments made are non-refundable. Each of those belongs to one boat or one listing, so none is a rule for yours. Compare them in detail on deposit and cancellation terms, and see published price versus quote for why a listed rate and the figure you are offered can differ.

How do you confirm the boat you are offered is the real boat?

Start by assuming that more than one seller may be offering it, so a second price for your boat is not in itself a warning sign. What you need to establish is who you are dealing with and whether they can deliver that boat on those dates.

  1. Ask whether the seller is the operator or an agent. If an agent, ask who operates the boat and whether the agent's contract names that operator.
  2. Find the boat's own published page. Compare the length, cabin count and guest count with what you were told. A difference is a question to raise, and it may be innocent.
  3. Ask for the documents. Detik reports that seaworthiness is evidenced by a ship safety certificate, with checks on Labuan Bajo tourist boats every three months. Ask to see a current copy that carries the boat's name.
  4. Check capacity against your group. A website's guest figure is not an official document, so ask which paper states the certified number. KSOP's October 2024 guidance requires passengers to match the manifest within capacity, so your headcount has to fit the papers.
  5. Get the name into the contract. Have the boat's name written into the offer, along with what happens if that boat cannot sail.

The documents checklist goes through each paper in turn, and choosing a provider covers how to judge the seller as distinct from the boat.

What happens with passport details and park registration?

Passport details come after the written offer, and the name on them has to be exact. The operator guide on neptuneliveaboards.com says registration through SiOra has been required since 1 April 2026, that there are no walk-in tickets, and that licensed operators register their passengers. The park authority's tariff page offers the SiOra app download. On that account, the operator handles registration for you, which is why it needs your details.

The same guide says the name entered must match the passport exactly, and that late passenger changes need to reach the operator quickly. That gives you a simple routine:

  • Send details only after you have a written offer you intend to accept.
  • Copy each name from the passport itself, including middle names, and do not retype it from a booking under a nickname.
  • Tell the provider at once if a guest drops out or joins, and ask for written confirmation that the list was updated.
  • Ask which channel the provider wants for passport copies, and who will hold them.
  • Ask the provider to confirm that registration is complete before you fly.

This guide is one operator's account of a recent rule. Ask your own provider what it needs and when, because the deadline may be set by the provider's own process.

How do you request a quote through this desk?

Write to the desk with the points from the first section. This site sells no departures and publishes no fleet, schedule or package, so a page here is never a booking. The desk replies to what you ask. That reply may be further questions, an answer to a specific point, or a written offer, and it may also be that we cannot help with those dates.

A contract would not come from the site itself: charter marketing contracts are issued by PT Komodo Bahari Nusantara, and any fee and payment terms are stated in the offer. Because a request can lead to a contract with that company, you should run our offer through every test on this page, exactly as you would with a stranger's. Nothing in a message from us commits a boat or a date; that takes a written offer you accept.

What do people ask before they book?

Can I book a luxury phinisi directly on this site?

No. This site sells no departures. You can write to the desk with your dates and group, and no commitment exists until you accept a written offer.

How do I know if a quote is per person or for the whole boat?

Ask for the basis and the group size in writing. Komodo Trips, for example, uses per person for packages and per boat for charters, so the same word price can mean two different things.

Is my booking confirmed once the seller replies?

No. A reply is only a conversation. Treat the booking as binding once you have accepted a written offer naming the boat, dates and total, and have met the payment step it sets out.

Do I need to send my passport to get a quote?

No. A quote needs dates, headcount and route. Passport names matter later, for park registration through SiOra, and one operator guide says they must match the passport exactly.

How far ahead should I book?

It depends on the weeks you want. The komodoresort.com guide says good boats for July and August book three to six months ahead. For other weeks, ask about the boat you want.

Which sources support this page?

We checked these pages in November 2026. Where a step rests on one operator's guide or one boat's terms, the text above says whose it is.
